ROIgenius Insurance AMS ("Service") collects and processes information to provide insurance agency management services:
- Account Information: Name, email, phone, company, address, role
- Insurance Data: Client profiles, policies, quotes, claims, coverage details
- Health Data (where applicable): Date of birth, health class, smoker status, medical documents for life/health insurance LOBs
- Financial Data: Invoices, payments, commissions, premium amounts
- Documents: Policy documents, ID cards, certificates, claims documentation
- Activity Data: Tasks, notes, call logs, meeting records, workflow history
- Technical Data: IP address, browser type, login timestamps (for security)
2. How We Use Your Information
- Service Delivery: Manage leads, policies, claims, workflows, and commissions
- Communication: Send service notifications, policy updates, and client communications via email
- Compliance: Maintain audit trails, enforce access controls, and meet regulatory requirements
- Analytics: Understand app usage to improve service performance (aggregated, non-personal)
- Security: Prevent fraud, enforce access policies, monitor for unauthorized access
3. Data Storage & Security
Your data is stored on secure servers managed by Base44 and Google Cloud Platform. We use encryption in transit (TLS) and at rest. Access is restricted by role-based access control (RBAC) and multi-factor authentication. Only authorized team members can access sensitive data.
Health data and personally identifiable information (PII) are handled with enhanced care and never shared with third parties except as required for policy administration (e.g., sending to insurance carriers) or as legally required.
4. Third-Party Services
We use the following third parties to deliver the Service:
- Base44: Application hosting and data backend
- Google Cloud Platform: Infrastructure and data storage
- SendGrid: Email delivery for notifications and communications
- Stripe: Payment processing for subscription billing
These providers have their own privacy policies; we recommend reviewing them.
5. Data Retention
We retain data for as long as your account is active and for 7 years thereafter (as required by insurance regulatory standards). You can request deletion of personal data, subject to legal and compliance obligations.
Your Data Rights (GDPR/CCPA)
Depending on your location, you may have the following rights:
Right to Access
You have the right to request a copy of all personal data we hold about you. Contact members@mypolicyadvocate.com with your request.
Right to Correction
If your data is inaccurate, you have the right to request correction. You can update much of your information directly in the Service.
Right to Erasure ("Right to Be Forgotten")
You may request deletion of your personal data. Please note: we may be unable to comply if we are legally required to retain the data (e.g., for insurance regulatory compliance, accounting, or fraud prevention).
Right to Data Portability
You have the right to receive your data in a portable format (e.g., CSV or JSON). Contact members@mypolicyadvocate.com to request an export.
Right to Withdraw Consent
If you have provided consent to use your data (e.g., for analytics cookies), you can withdraw that consent at any time. Withdrawing consent does not affect the lawfulness of processing before withdrawal.
Right to Lodge a Complaint
If you believe we are mishandling your data, you have the right to lodge a complaint with your local data protection authority (e.g., ICO in the UK, CNIL in France).
